1. The letter must prove 3 things
Why this role now, why you, and why this company.
If one of those is missing, the letter sounds generic.
2. Simple 3-paragraph structure
Paragraph 1: short hook + direct link to the role.
Paragraph 2: 2 concrete proof points from your resume.
Paragraph 3: motivation + availability + call-to-action.
- Keep it under 250 words.
- Mirror the job vocabulary without copying.
- Highlight one measurable outcome.
3. Proof points = action + impact
A strong proof point combines action, context and result. Example: "Reduced delivery cycle by 20%".
Avoid vague lines like "I am motivated" with no evidence.
4. Pre-send checklist
Re-read the letter and confirm it could not be sent to any random company.
- Role and company name are explicit.
- Two concrete proofs are visible.
- Clear call-to-action for an interview.
- One page, typo-free.
